Intake & Admissions Coordinator

HouseCalls Home Care is looking for a highly organized and responsible Intake & Admissions Coordinator to become the first point of contact for new clients and their families.

The selected candidate will manage the Medicaid, insurance eligibility, UAI coordination, client onboarding, and admissions process, ensuring a smooth transition from initial referral to service delivery.

This is a high-responsibility opportunity with strong potential to grow into a Team Lead / Intake Department leadership role as the organization expands.

Key Responsibilities

• Manage incoming referrals, inquiries, and new client intake
• Verify insurance, private-pay, and Medicaid eligibility
• Confirm coverage and benefits with Managed Care Organisations (MCOs)
• Assist families with Medicaid applications and required documentation
• Track Medicaid applications with local Department of Social Services (DSS)
• Coordinate and schedule UAI (Uniform Assessment Instrument) screenings
• Prepare families for the assessment process and follow up on authorisation
• Complete service agreements and on boarding documentation
• Maintain accurate client records in the centralized system
• Coordinate smooth handoffs with Clinical, Scheduling, and Billing teams
• Identify authorisation or documentation issues before they cause service delays
• Maintain regular communication with clients and their families.

Requirements

• Prior experience in Home Care / Healthcare Intake will be highly preferred
• Fluent in English (spoken and written) — mandatory
• Moderate proficiency in Hindi, Urdu, or similar languages is an advantage
• Excellent phone and written communication skills
• Strong organisational and documentation skills
• High attention to detail and accuracy
• Reliable and consistent attendance
• Comfortable working a full-time overnight shift
• Ability to manage multiple cases and priorities simultaneously

Preferred Qualifications

• Experience in healthcare intake, home care, insurance verification, or BPO/call center operations
• Familiarity with Medicaid, insurance, or U.S. healthcare processes
• Experience using healthcare/home care software platforms
• Bachelor's degree in any discipline is preferred but not mandatory.

Work Location: Office-based

Working Days: Monday – Friday

Working Hours: 9:00 PM – 5:00 AM (Overnight Shift)

Salary: 20,000 – 50,000/month, based on experience
