Job Summary
The Executive / Senior Executive – Supply Chain is responsible for supporting the efficient procurement, inventory management, warehouse operations, logistics, and vendor coordination functions of the hospital. The incumbent ensures the timely availability of medicines, medical consumables, surgical supplies, laboratory reagents, biomedical equipment, and non-medical items while maintaining cost efficiency, inventory accuracy, regulatory compliance, and uninterrupted support to all hospital departments.
Key Responsibilities
- Receive, review, and process Purchase Requisitions (PRs) from user departments.
- Source quotations from approved vendors in accordance with hospital procurement policies.
- Prepare Request for Quotation (RFQ), Comparative Statement (CS), and Purchase Orders (POs).
- Follow up with suppliers to ensure timely delivery of ordered goods and services.
- Coordinate with user departments regarding procurement status and delivery schedules.
- Ensure procurement activities comply with approved authority matrices and procurement procedures.
- Maintain effective communication with approved suppliers and service providers.
- Assist in vendor registration, evaluation, and documentation.
- Monitor supplier delivery performance and service quality.
- Resolve routine procurement and delivery issues with vendors.
- Maintain updated supplier records and contact information.
- Monitor inventory levels to ensure uninterrupted availability of essential supplies.
- Coordinate receiving, inspection, storage, and issuance of materials.
- Verify delivered items against Purchase Orders, Delivery Challans, and invoices.
- Ensure urgent and emergency supply requests are fulfilled promptly.
- Maintain accurate procurement and inventory records.
- Update procurement and inventory transactions in the Hospital Information System (HIS) or ERP system.
- Maintain purchase files, supplier documents, contracts, quotations, and inventory registers.
- Graduation in Supply Chain, Business Administration, IPE or a related discipline from a recognized university.
- Minimum 1–5 years of experience in supply chain department. Applicants from healthcare sector will be highly encouraged.
