Role Description The Executive Assistant (Sea Freight Export Documents) is a full-time, on-site role based in Dhaka, Bangladesh. This position is responsible for preparing, organizing, and maintaining export documentation for sea freight shipments, including invoices, packing lists, bills of lading, and customs-related paperwork, in coordination with internal teams and external partners. The role involves supporting executive leadership with day-to-day administrative tasks such as managing calendars, arranging meetings, handling correspondence, and preparing expense reports and basic summaries related to export operations. The Executive Assistant will also assist with tracking shipments, maintaining records in company systems, and ensuring that documentation complies with regulatory and customer requirements. Collaboration with operations, customer service, and finance teams is expected to ensure smooth export processes and timely communication with clients and authorities.
Qualifications

• Candidates should possess strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and confidential information handling.
• Candidates should possess solid Administrative Assistance skills, such as document preparation, record keeping, and office organization.
• Candidates should possess experience with Expense Reports, including data entry, basic reconciliation, and documentation of supporting materials.
• Candidates should possess clear and professional Communication skills, both written and verbal, for interacting with executives, clients, and logistics partners.
• Knowledge of sea freight export processes, shipping documentation, and customs brokerage practices is highly beneficial.
• Proficiency with common office software (e.g., word processing, spreadsheets, email) and ability to learn logistics or ERP systems is preferred.
• Strong attention to detail, time management, and the ability to work accurately under deadlines are essential.
• A diploma or bachelor’s degree in Business, Administration, Logistics, or a related field is advantageous; relevant work experience in freight forwarding or customs brokerage is a plus.
