Job Description

  • Manage and coordinate incoming calls, emails, messages, and written correspondence on behalf of the CEO with care and efficiency.
  • Draft clear, professional emails, letters, memos, and official communications tailored to diverse audiences.
  • Serve as a primary point of contact for clients, business partners, employees, vendors, and other stakeholders as directed.
  • Prioritize and triage communications, routing urgent items to the CEO and resolving routine matters independently.
  • Prepare concise briefings and summaries that highlight key decisions, actions required, and relevant context for the CEO.
  • Schedule and coordinate meetings, calls, and virtual events; prepare agendas and ensure timely distribution of materials.
  • Record meeting outcomes, track action items, and follow up with stakeholders to ensure timely completion.
  • Maintain confidentiality and exercise sound judgment when handling sensitive information and discussions.
  • Organize and maintain accurate records of correspondence, contracts, and important documents for quick reference.
  • Coordinate logistical needs for travel, events, and executive engagements to ensure smooth execution.
  • Leverage communication tools and systems to manage workflows, monitor responses, and improve operational efficiency.
  • Foster positive relationships with internal and external contacts by responding promptly and courteously to inquiries.
  • Support ad hoc projects and special initiatives for the executive office, adapting to shifting priorities with a positive attitude.

Requirements

Core requirements

  • Excellent written and verbal communication skills in English and Bangla, including the ability to draft clear professional emails, letters, memos, and briefings tailored to internal and external audiences.
  • High level of professionalism, discretion, and integrity; demonstrated ability to handle sensitive information and maintain strict confidentiality regarding executive and company affairs.
  • Trustworthy, punctual, responsible, and highly organized with a professional appearance and communication style appropriate for executive-level interactions.
  • Ability to work effectively in a fast-paced, dynamic business environment and adapt to shifting priorities with a positive, solution-oriented attitude.
  • Open to entry-level candidates; freshers are welcome to apply. Prior experience in administrative support or executive coordination is a plus but not mandatory.

Technical skills and tools

  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) — ability to create polished documents, concise executive summaries, and formatted reports.
  • Familiarity with Google Workspace (Gmail, Calendar, Docs, Sheets, Drive) and cloud-based collaboration workflows (sharing, version control, commenting).
  • Comfortable using digital communication and scheduling tools (video conferencing platforms, calendar booking systems, shared task trackers) to coordinate meetings and virtual events.
  • Basic document management and record-keeping skills — ability to organize contracts, correspondence, and reference files for rapid retrieval and audit readiness.
  • Ability to leverage communication tools to monitor responses, manage workflows, and improve operational efficiency (examples: shared inbox management, automated reminders, simple macros or templates).

Communication and stakeholder management

  • Serve as a courteous, professional point of contact for clients, partners, employees, vendors, and other stakeholders; manage relationships with tact and responsiveness.
  • Prioritize and triage incoming communications (calls, emails, messages); escalate urgent matters to the CEO and resolve routine issues independently when appropriate.
  • Prepare concise briefings and situational summaries that highlight decisions required, background context, and recommended next steps for executive review.
  • Follow up with internal and external stakeholders to ensure timely completion of action items and to close communication loops.

Organizational, coordination, and time-management skills

  • Strong organizational skills with a proven ability to manage multiple tasks, competing priorities, and tight deadlines without sacrificing attention to detail.
  • Schedule and coordinate meetings, calls, and virtual events; prepare agendas, distribute materials in advance, and ensure technology and logistics are in place.
  • Record meeting outcomes, track action items, assign responsibilities, and drive follow-through until tasks are completed.
  • Coordinate travel logistics and executive engagements (itineraries, transportation, document preparation) to ensure smooth execution and minimal disruption to the executive’s schedule.

  • Demonstrated ability to exercise sound judgment when handling confidential or sensitive matters and to make appropriate decisions in the absence of immediate executive direction.
