Job Description

The Admin Officer (Shifting) is responsible for managing administrative functions during assigned shifts to ensure smooth operations in the Ready-Made Garments (RMG) sector. This role involves coordinating with various departments, handling employee issues, overseeing facility management, and ensuring compliance with organizational policies and safety standards.

Requirements

Key Responsibilities:

  1. Shift Management:
  2. Oversee all administrative activities during the assigned shift.
  3. Ensure the smooth transition between shifts, including proper handover of tasks and responsibilities.
  4. Monitor attendance and punctuality of employees during shifts.
  5. Facility Management:
  6. Ensure cleanliness and maintenance of the factory premises.
  7. Oversee security operations to ensure the safety and security of the facility and employees.
  8. Manage and supervise support staff such as janitors, security personnel, and maintenance workers.
  9. Employee Support and Relations:
  10. Address and resolve any employee issues or grievances that arise during the shift.
  11. Provide assistance to employees regarding administrative queries and concerns.
  12. Ensure employee adherence to company policies and procedures.
  13. Resource Management:
  14. Manage inventory of office supplies and ensure availability during shifts.
  15. Coordinate with the procurement department for the timely replenishment of supplies.
  16. Monitor the use of company resources to prevent misuse and ensure cost-efficiency.
  17. Compliance and Safety:
  18. Ensure compliance with health and safety regulations during shifts.
  19. Conduct regular inspections to identify and address potential safety hazards.
  20. Implement emergency response procedures and conduct drills as necessary.
  21. Reporting and Documentation:
  22. Maintain accurate records of administrative activities, incidents, and shift reports.
  23. Prepare and submit shift reports to the Admin Manager.
  24. Ensure proper documentation and filing of administrative records.
  25. Coordination with Departments:
  26. Liaise with various departments to ensure seamless operations and communication.
  27. Assist in coordinating company events, meetings, and other activities.
  28. Support HR and other departments with administrative tasks as needed.
  29. Crisis Management:
  30. Respond to emergencies and manage crisis situations effectively during shifts.
  31. Coordinate with relevant departments and authorities in case of incidents.

Qualifications and Experience:

  1. Bachelor’s degree in Business Administration, Management, or a related field.
  2. Minimum of 3-5 years of experience in an administrative role, preferably in the RMG or manufacturing sector.
  3. Strong understanding of administrative and facility management practices.
  4. Excellent communication and interpersonal skills.
  5. Proficiency in MS Office Suite and familiarity with office management software.
